How Do I Use The All Projects View While Scheduling?

This article will walk you through the steps on how to use the All Projects view to schedule Employees and Assets.

The All Projects view allows you to schedule Employees and Assets while being able to easily view other project schedules. This article will walk you through the exact steps on how to utilize this view!

Required

In order to use the Scheduling module, you must have the Full Scheduling Access role enabled.


Here are the steps to use the All Projects view while scheduling:

  1. Once you navigate to the Weekly Scheduling module, click the All Projects tab.

  2. To start scheduling, click on the project that you need to schedule.

    Note: You can search for projects and narrow down projects to choose from by clicking Project Filters.

  3. Once you click the project that you need to schedule, click an Employee or Asset to schedule on the right hand side.

    Note: Click Select Multiple to choose several employees at once. Multi-select each employee you want to schedule, then click Schedule Selected to apply hours. Use Employee Filters or Asset Filters to quickly search and narrow down your list.

    Additional Note: If using employee scheduling groups, click the Groups tab to schedule a group. You can also click Group Filters to search for specific groups.

  4. After selecting employees or assets to schedule, set their hours, break times, and add notes using the guide below:


    Start - For each day, select the start time in this field.


    End - For each day, select the end time in this field.

    Break Time - For each day, select their break duration in this field.

    Same As - Select a day from the drop-down to copy its hours to the current day.

    Scheduling Notes - Enter any notes you'd like the employees to see in their scheduling confirmation text.

    Employee Notes - If employees enter notes in their confirmation text for this week, they will appear here. Click Clear Notifications to acknowledge and clear the alert. Click Clear to permanently delete the note.

  5. Below is a guide explaining each option that is available while configuring these hours:

    - This button completely deletes this weeks schedule for this employee(s) or asset(s).

    - Click this button to redo this schedule. This will clear any hours that are already entered.

    - This button resets the hours to the Default Scheduling Hours. The Default Scheduling Hours are configured in Scheduling Settings.

    or - These options appear on each day of the week. Select either of these buttons to clear the hours for that day only.

    - This option appears above each day of the week. Select this + button to separate hours for that day. This is useful if employees leave the job, then return at a later time.
    Example: Start 7am - End 10am / Start 1pm - End 3pm

  6. Once all hours are entered, click Save.

  7. (Optional) Once the hours are saved, you have some additional options:

    - Click this icon to delete the schedule for this project only.

    - This option will highlight this project green on the right hand side. This is a visual to mark which projects have already been scheduled.

    - Click these options to view either Scope of Work or Scheduling Notes.

    - You can make adjustments by clicking Details. This will take you back to the screen to configure hours.

    - For additional adjustments, select the employee or assets hours box. You can select the hours from a single day, multiple days, or click to include everything. Then make changes using the icons.

    - Click this icon to cancel all selections.

  8. (Optional) After you select which hours you need to change, you have the following icons to adjust time:

    - This icon copies the selected hours to another employee or asset.

    - This icon moves the selected employee(s)/asset(s) hours to a different project.

    - If one day's hours is selected, you can click this icon to copy those hours to another day.

    - This icon deletes the selected hours.

    Note: To use these icons, you must select which employees or assets hours will be effected by making sure their Hours are clicked and highlighted green. These icons will only effect the hours that are selected.
    Example:

  9. (Optional) Once your schedule is ready, you can send a confirmation text to all employees who are scheduled by clicking Ready SMS, Send Schedule, then click Yes.

    NOTE: Clicking Ready SMS will send a text to ALL EMPLOYEES who are scheduled across ALL PROJECTS.
