If you've used the FieldFlō CRM before, here's what's different. This article focuses on things you'll notice as different — relabeled fields, restructured surfaces, behavior changes — rather than the full inventory of new capabilities (for that, see What's New).
The big picture. The lead surface and the proposal builder both look quite different. All of your data is still there — most fields have either kept the same name or been renamed in obvious ways — but where things live has moved. The first time you open a lead, take a moment to scan the new layout before going looking for a specific field.
The Lead Structure
Then: A single long page with many sections stacked vertically. Sub-tabs like Choose Client/s, General Info, Job Walk, Proposals, Files, Addt'l Project Details, Assigned Personnel, Referral, Award & Create Project.
Now: An eight-tab structure (Basics, Job Walk, Details, Files, Referrals, Proposals, Reach Outs, Log) with a persistent top tab menu. The active tab is visually distinguished, and tab visibility is governed by the Lead Template your admin has set up for that kind of work.
What moved where:
Choose Client/s → now part of the Basics tab (and the clients on a lead now live as a sub-section there).
General Info → now the Basics tab.
Job Walk → still Job Walk, with the same fields plus a new Win Confidence pill toggle.
Addt'l Project Details → now the Details tab, restructured into six horizontal category tabs (Site, People, Billing, Compliance, Operations, Custom).
Assigned Personnel → folded into Basics (Estimator, BDM) and Details > People (PM, Supervisor, Foreman, etc.).
Referral → now Sources, with support for multiple referral sources per lead.
Award & Create Project → merged into Proposals. The Award outcome lives on the Proposals tab (record an outcome on the proposal that closed the deal) and Create Project appears after Award = Won.

A handful of fields have new labels. The data underneath is the same.

Behavior Changes Worth Knowing
Lead Creation Flow
Then: A blank lead with all fields visible, filled out in any order.
Now: A multi-step "wizard" (Basics → Job Walk → Details) with autosave from the first keystroke. You can leave and come back; nothing is lost. The lead creator is auto-assigned as primary Estimator (you can change this).
Status Pill
Then: A set of legacy statuses including some that overlapped.
Now: Simplified to Active and Archived operationally, with the outcome (Won / Lost) recorded on a sent proposal. The lead's pipeline column on the dashboard is driven by these states. "Negotiated" and "No Award" are gone as statuses — "No Award" is now a Lost reason captured in the outcome modal.
Outcome Recording
Then: A radio toggle on Award & Create Project with minimal capture.
Now: A structured modal that captures rich win/loss data — Awarded Value, Margin %, Days to Decision, Decision Maker, Key Win Factors (multi-select), Client Feedback, and Internal Notes for Won; and Primary Reason, Competitor name, Winning Bid, Our Bid (with auto-calculated Price Gap), and lessons-learned for Lost.
Multiple Estimators / BDMs per lead
Then: One Estimator, one BDM per lead, with no split.
Now: Multiple Estimators and BDMs on a single lead, each with an optional commission-split percentage and per-person notes. Splits roll up into Estimator Performance reporting.
Clients on a Lead
Then: Prospect clients only live inside the lead and have to be re-entered on future leads, creating duplicates. No concept of a "contact role".
Now: Prospect clients added to a lead are saved in your client database, with the type set as "prospect". Same multi-client and multi-contact concepts, with two upgrades — role (Property Owner, Billing Party, Contract Signer, Insurance Adjuster, Referral Source, Site Contact, Other — multi-select per contact)
Tags
Tags are still on leads, presented as colored pills with a multi-select filter on the leads list. The set of tags is admin-managed and tags can be applied via the Lead Template's defaults.
Contacts List
Then: Capped at 5 contacts per client.
Now: Up to 50 contacts per client. The 5-cap is gone.
Billing Fields
Then: Billing-related fields lived in the Billing Client / GC / Insurance sub-section of Addt'l Project Details.
Now: A dedicated Billing Details section in Project Details. The Billing Party is now picked from saved contacts (no longer free text), and the same selection auto-assigns the Billing Party role to that contact. A new Billing Scope field captures internal-only billing instructions that carry forward to the project.
Reach-out Tracking
Then: A single colored "Reachout" status pill on the Choose Client/s table.
Now: A full Reach Outs tab with structured activity entries (date, method, outcome, notes) and recurrence support.
Files
Drag-drop upload, folders, search, and the three-dot per-file menu all behave the same. The big change is at award — files on a lead now automatically transfer to the project rather than living orphaned on the lead.
Lead Number
Then: Manually entered.
Now: Auto-populated. You can still override per lead if the lead template allows it.
Project Designer
The Project Designer sub-section that existed under Addt'l Project Details on the legacy lead is not present on the new lead in Wave 1. If you used this field, your CSM should be made aware — it's a known parity gap and the decision on whether to bring it back is pending.
The Proposal Builder
Then: A single-canvas editor with limited formatting.
Now: A clean canvas with a much richer toolbox. Functionally, the things you used to do still work — you can build a proposal, add bid line items, apply markup, send to a contact. The differences worth calling out:
Bid line items are now the Scope & Pricing block with three-place markup, scope groups, and a lump-sum vs. bottom-up toggle.
Markup architecture has changed — you choose per-line or per-proposal/section markup, not both. The legacy double-application is gone.
Send is now a drawer with per-row TO / CC / BCC control, a format selector (web link / PDF / both), and an email-shortcode body.
Multiple signature blocks are now supported on one proposal.
What Hasn't Changed
A short list, for context:
The CRM is still part of FieldFlō, accessed from the same place in the nav.
Inventory, Production Tracking, Job Costing, Payroll, Safety / Compliance, Certification, Document Management, and Messaging are unchanged in this release.
Existing leads, clients, proposals, and templates are preserved — you don't have to recreate anything.
The Estimation Engine (bidding paths, Production Task Library) is a parallel effort and is not part of this release.
