What's New in the FieldFlō CRM?

A guided tour of what's new in the rebuilt FieldFlō CRM — leads, dashboard, clients, proposals, and more.

The FieldFlō CRM has been rebuilt around the way DA&R work actually happens — from a first call out of a GC to a clean handoff into a project. This article is a guided tour of what's new, organized by the surfaces where you'll spend time.


The New Lead Structure

Every lead now has a clean 8-tab layout — Basics, Job Walk, Details, Files, Sources, Proposals (with Awards), Reach Outs, and Log — visible from a persistent top tab menu. Your admin's Lead Template controls which tabs are visible for a given kind of work, so an Insurance Restoration lead and a Structural Demo lead can look completely different even though they live in the same product.

You'll notice right away:

  • New interface for Leads and Clients that allows you to change from list view to a card style view. Leads allow you to see status columns to keep track of lead progress and client cards provide more info at a glance.

  • A wizard-style lead creation flow (Step 1 Basics → Step 2 Job Walk → Step 3 Details) with autosave from the first keystroke. Your draft is saved continuously — no separate "Save" button to remember.

  • A Lead # field that auto-populates based on your company's rule (prefix + last number + increment). You can override per lead if you need to.

  • A Bid Due Date field on the Basics tab that drives alerts on the dashboard (red "Bid overdue — 3d" reminder).

  • Multiple Estimators and BDMs on a single lead, each with optional commission-split % and per-person notes.

  • A Win Confidence indicator (Low / Medium / High) on every lead card, set on the Job Walk tab and filterable on the leads list.

The New Dashboard

The leads dashboard is now a four-column "kanban" style formatIn Progress / Proposal Sent / Won / Lost — with a live pipeline summary at the top, per-column totals, and card-level alert banners for bid-overdue and stalled-lead conditions. You can flip between column and list views with a single toggle. Search and filters (user, office, status, confidence, tags) persist per-user across sessions, with new sorting options.

Project Details, Restructured

Project Details now uses six vertical category tabsSite, People, Billing, Compliance, Operations, Custom — with visual sub-section groupings. The legacy long-scroll layout is gone. New fields you may not have had before include:

  • Country on the job-site address

  • Lien sub-section for tracking lender info on lien-eligible work

  • EPA ID

  • Billing details, including billing party, scope, and internal notes

  • 12 admin-configurable Custom Fields (up from 6)

Clients and Contacts, Rebuilt

Two things that used to be painful are now solved:

  • Fuzzy client matching runs as you type a client name on a new lead, showing close matches first (with parent companies indented above their subsidiaries). You'll catch near-duplicates before they get created.

  • Contacts are now a first-class entity. A contact can carry multiple emails, multiple phones, a preferred method, and be linked to multiple clients and leads — with their role per link.

Other client changes:

  • Single-level parent / child client hierarchy

  • Lateral typed client links (Part of Region, Franchise Of, Managed By, Partnership With, Affiliated With, Successor Of) for relationships that aren't strictly hierarchical

  • Multi-value contact roles — a single contact can be both the Property Owner and the Billing Party

  • Up to 50 contacts per client (the 5-contact cap is gone)

  • Default BDM per client that auto-fills on new leads from that client

Lead Templates

Admins now configure the lead experience through Project Templates with a new "Lead Phase" configuration — the same template that controls the post-award project also controls how the pre-award lead looks. You can set, per template:

  • Per-tab visibility (Insurance leads don't need the Compliance tab; Abatement leads do)

  • Per-field rules: visibility, requirement tier, and default values

  • Multi-line text defaults for fields like Internal Scope and Job Walk notes (so a new Abatement lead can pre-populate with the right boilerplate)

  • Default assignments (Estimator, BDM, PM, Supervisor, Foreman, tags, reach-out cadence)

  • A "convert-to-project gate" that blocks conversion until required fields are filled, with a modal listing exactly what's missing

The New Proposal Builder

The Proposal Builder is the biggest single change. Highlights:

  • A clean canvas — add new blocks inline easily, edit content directly, and no need to create new pages. You can see the whole proposal simply by scrolling

  • PDF page breaks — to specify where a page will break, pushing the content below that to the next page. Similar to Word docs

  • Hero image library plus custom upload, plus admin-configurable fonts and accent color

  • Drag-and-drop content blocks (Text, Image, PDF, Divider, Signature) — click-to-edit, no pencil or gear icons

  • In-canvas multi-proposal switcher so you can jump between every proposal on the same lead without leaving the builder

  • Multi-signature blocks for joint property owners or co-signers

  • CC / BCC on the Send Proposal flow

  • Send format selector — choose Web View (interactive link) or PDF (attached file) or both

  • Manual mark-as-signed — for countersignatures captured by phone or in person

Scope & Pricing (the new bid-line-items block)

The bid-line-items widget has been rebuilt as a Scope & Pricing block with full DA&R economics built in:

  • Three-place markup precision (you can charge 40.625%, not just 40%)

  • Lump sum vs. bottom-up toggle with a "Desired Total" override

  • Discounts (%) at the scope-group or proposal level, labeled and rendered as a negative line

  • Cost-vs-price terminology — internal cost-of-goods stays "cost," what the customer pays is "price"

  • Scope groups — named groupings of tasks/line items with live subtotals and optional section-level markup

  • Inventory auto-populate — adding a line item from inventory pre-fills UoM and rate

  • GP-percent visibility with size-tiered floor alerts — Gross Profit is live in the right rail

Billing Details

A new Billing Details section in Project Details captures who's being billed (picked from saved contacts, not free text) plus an internal-only Billing Scope field for instructions the PM team needs when invoicing time rolls around. A matching Billing Party widget auto-populates the billing recipient's name, email, phone, and address into the proposal.

Insert the billing party details directly into your proposals.

Approval Workflow

Higher-value proposals can now route through an opt-in approval workflow. You can also send a draft proposal to internal teammates for review without routing it to the customer.

Outcome Tracking

The Award flow is now structured. Outcomes are Won or Lost only (Negotiated and No-Award are gone — "No Award" is a Lost reason). Recording an outcome opens a modal:

  • Won captures: Awarded Value (required), Margin %, Days to Decision, Negotiated flag, Contract Start, Contract Number, Decision Maker, Key Win Factors (multi-select), Client Feedback, Internal Notes

  • Lost captures: Primary Reason (required), Additional Detail, Competitor That Won, Winning Bid, Our Bid (with auto-calculated price gap), Was-loss-price-driven flag, Relationship Factor, What-we'd-do-differently, Internal Notes

Reach Outs

The legacy single "Reachout" status pill is replaced with a dedicated Reach Outs tab that captures structured activity per lead — prospect client, performed by, date, method (Call / Email / Text / In person), outcome, reason/summary, whether the contact responded, and notes. You can also schedule recurring reach-outs ("Repeat every 7 days") so the system reminds you to follow up.

Activity Log

Every event on a lead is now captured in a full audit trail under the Log tab — create, update, status change, outcome record, proposal sent, file added/removed, scope changed, billing-party changed, commission-split changed, client changed, price changed. Filterable by user. Activity is retained indefinitely.
